How it works

From the file you already send your accountant to a report you can act on.

You already send your monthly SAF-T file to your accountant. You can share the same file with BNV Intelligence to help turn your trading data into useful business insights.

The monthly process

Three steps, once a month.

  1. 1

    Find your SAF-T (PT) file

Once a month your billing software produces a SAF-T file. It is the same file your accountant receives. If you are unsure where to find it, your accountant or your software provider can point you to the SAF-T export.

  2. 2

Share the same file with us

Upload it in the client portal under Upload SAF-T. You do not need to edit or prepare the file, and you do not need to give us access to your till or your billing software.

  3. 3

    Open your report

Your report is shown inside the client portal under My Reports, with its own pages, filters and navigation.

Monthly, not real time. A report built from SAF-T files reflects the files that have been shared. That fits the monthly review most owners already do with their accountant.

About the file

What is a SAF-T (PT) file?

SAF-T is the standard audit file for tax in Portugal. It is an XML file that your billing software generates for each month. Businesses send it to the tax authority through the Portal das Finanças, and most also share it with their accountant.

Because the file already exists, there is no extra reporting for you to do. BNV Intelligence is designed to read the sales information in it and present it in the report.

What the report uses from SAF-T

  • Sales documents and their line items
  • Quantities, values and VAT
  • Dates and times of sale
  • Payment details, where your system records them

What it does not contain

  • Supplier invoices and ingredient costs
  • Staff rotas and wages
  • Customer reviews, which would come from Google

Exactly which details appear depends on your billing software, so the report can differ slightly between restaurants.

Customer feedback

Guest feedback, next to your sales

The Customer Reviews page of the report shows ratings, sentiment and the themes guests mention, alongside your trading figures, so you can see how feedback and performance line up.

From the client portal, a Respond to Google Reviews button takes you to your Google Business Profile in a new tab, where you can reply to guests directly on Google.

Good to know

  • Replies are written and published on Google, not inside BNV Intelligence
  • You need a Google Business Profile that you own or manage

Trading patterns

Is it a fit?

Built for independent restaurants.

If you run a restaurant, review your numbers regularly and your billing software produces a SAF-T (PT) file, the report is designed to start from that file.

A good fit if

  • You want one view instead of several reports
  • You already send a monthly SAF-T file to your accountant
  • You want sales and guest feedback side by side
  • You would rather not learn another system

About us

Built from our hospitality experience

BNV Intelligence comes from time spent working in restaurants, and from wanting business information to be easier to understand and use.

A plated grilled fish dish with fresh herbs on a restaurant table, with a glass of white wine and a softly lit dining room behind.

Our story

Why we created BNV Intelligence.

Through our experience working in restaurants, we saw first-hand how much time could be spent pulling together figures, preparing reports and trying to make sense of the numbers.

Too often, the result was a report full of data that still left the important questions unanswered. The numbers might show what happened, but they often did not explain why it happened, what opportunities were being missed, or what the business could do differently.

We kept coming back to the same questions:

  • What was really driving sales?
  • Which products were performing best?
  • When were the biggest opportunities being missed?
  • What were customers telling us, and what could we do differently?

We created BNV Intelligence to help answer those questions.

By bringing sales performance, product analysis, trading patterns and customer feedback together, our aim is to make business information easier to understand and more useful in day-to-day decisions.

Less time preparing reports. More time understanding your business and deciding what to do next.

What we bring together

Four parts of the picture, in one place.

Revenue, receipts and average bill, and how they move through the year.

Product analysis

What sells, what earns the most, and how each product contributes.

Trading patterns

Your busiest meal periods, days and hours.

Customer feedback

Ratings, sentiment and the themes guests mention, with your authorisation.

Data & security

Your restaurant data deserves care.

This page sets out the principles BNV Intelligence is built around. We will only describe a protection as in place once it has been put in place and checked.

Principles

What we are building towards.

Only what is needed

The report works from the sales and trading information in your SAF-T file and, if you choose, your Google reviews. We do not need card numbers, bank logins or access to your till.

Each restaurant sees its own data

A restaurant must only ever see its own figures. This is a firm requirement of how the service is designed.

Controlled access

Access to a restaurant's data should be limited to the people who need it, with sign-in and permissions set up per restaurant.

Protection of stored data

Where data is hosted and how it is protected will be documented and shared with you before any restaurant data is uploaded.

Clear agreements

Before your account is activated, we will agree in writing how your data is used, how long it is kept and how it can be deleted.

Your permission for reviews

Google review data is only used through an authorised connection that you approve, and you can withdraw that approval.

Good to know

About customer details in SAF-T files.

A SAF-T file can include customer details, such as a tax number on an invoice issued to a named customer. The report pages shown on this website do not display customer names or tax numbers.

Questions about your data?

Ask before you decide. We are happy to talk it through.

Help

Answers to common questions.

Where do I find my SAF-T file?

It is the monthly file your billing software produces for your accountant and the tax authority. Ask your accountant or your software provider to point you to the SAF-T (PT) export.

What happens when I upload a file?

Your SAF-T file is read and checked in your browser. You see its period, the number of invoices, products and customers it contains, and whether it passes the validation checks. In this version the file is checked in your browser and is not stored or sent anywhere.

Where is my report?

Your interactive Power BI report opens under My Reports. Use the navigation inside the report to move between its pages.

How do I get in touch?
